    Update - Lesley produced a draft privacy policy. Malcolm read it and sent back with annotations. I went through it tonight to produce the third draft. It's now back with Malcolm. Once he's done his thang it will go to Lesley for her rubber stamp. Then we'll present it to the Committee for their approval before implementing, because we're dealing with EU Law (and some other jurisdictions) here, so this has to be a Committee-approved policy document and web implementation.

    Update - Mal has sent his latest version which is now with Lesley.

    The legally required (in the EU) JRA Privacy Policy produced by yours truly, Lesley and member Malcolm Duckett is now availlable to download here [pdf, 165 Kb]. It also covers 'cookies'. Many thanks to Malcolm for his valuable help with this.

    The document is in two parts: a briefing paper which was prepared for the Committee but which is made available to members, and the policy itself, now version 5.

    Comments and suggestions from all members are welcome in this forum, please, rather than by email or anywhere else, as it's much easier to keep track of them here.

    If I may be allowed as Chairman to speak on behalf of all members, I feel sure that we are all grateful to the those who have tackled this business, apparently so competently.  Thank you Brian, Lesley and Malcolm who have driven this and to the others who have contributed ideas and proof read drafts. 

    I have read the briefing note and the notice and, to me, who knows very little if anything about all this, it all reads very well. 

    I would feel comfortable that this work demonstrates, at least to me, that we are taking all reasonable steps to demonstrate our duty of care to visitors to the site and hence our compliance with our legal requirements. 

    I can offer no useful criticism or improvements.  (There is an extra full stop at the end of the section on Third Parties!) 

    However, I would still urge others to do as Brian asks, ie actually read the briefing note and notice and offer any comments or further suggestions.  The use of many eyes and brains may help and will certainly be appreciated.  A significant number of members (and all committee members!) signing up to this work will help to demonstrate our intention to meet our legal requirements.

    Congratulations to Brian, Lesley and Malcolm on an excellent piece of work on behalf of the JRA (which means on behalf of all of us). I'm grateful to them, because this sort of thing goes way over my head.

    I am not capable of producing any amendments or improvements to the content of the document "JRA PRIVACY POLICY – Draft 4", which generally reads well and is written in plain English.

    I can spot just a very few errors:

    to have construed it to primarily concern cookies > to have construed it primarily to concern cookies

    by 'disabling cookies' in 'all local storage”' > by 'disabling cookies' in 'all local storage' 

    should access thecontent > should access the content

    Having read the notes,  I would like to congratulate you all for making it so wonderfully clear and straightforward.    
    one typo in the paragraph " what info do we collect.  Line 5.   There is an L in the word from."
    a privacy point I would like to raise for clarification.   From time to time we are asked by members for copies of the membership list.   While this does not disclose all information about members,  that does give email addresses.  Does this not contravene our stated policy of not distributing personal information to third parties?

    I don't know anything about privacy laws, Lynda, but if our members can go to the website to get email addresses of other members, then surely there is no problem with sending these same addresses in a hard copy?

    I confess that I didn't proof read the document, but it seemed pretty clear, (though somewhat lacking in story line :-])

    Well done Brian, Lesley and Malcom (and anyone else who slogged through creating the document).  You'd have to be truly obtuse not to underestand what we do and why we do it, in trying to have a well-functioning website (and Association) while protecting people's privacy.

    A roll call of committee members:

    Brian and Lesley were deeply involved in the drafting of the documents, so can be assumed to be in approval. 

    Edward, Sally, David, Lynda, Annie and I have now commented on the documents and, subject to very minor suggested amendments which do not alter the meaning of the text, have all supported them. 

    That is all committee members.  Thank you all.  

    Provided amendments between this draft and the final text are those suggested above or similar minor amendments of grammar, spelling, typos etc that do not alter the meaning of the text then we can reasonably assume that the final documents are approved by all of the committee. 

    The documents can or indeed should be considered 'live documents' subject to amendment as or when changes in circumstances dictate.  I would request that the Webmaster(s) kindly keep a watching brief. 

    However, I see no reason for the committee to revisit this unless or until significant amendments are required.
